As to the second half of your question, about populating a Template with Session Data, does the "Automatically Copy Files on Import" option from the Preferences Processing page work for that?

what gwhatley said is correct.

Use the workspace window.

You can use the sort by path method or, while the drive/audio is offline, in the workspace browser select "all offline". Keep the workspace open, then connect the drive and do a relink, the selection of what was all offline should still hold after the relink, then do a copy and relink from the workspace browser (pointing to your new session folder)

This is a good point, but I don't believe it has an impact on "import session data". There is a box in the import session data window where you can toggle between copying files on import or referencing original files (and also something like "force to target session format"; sorry, not in front of it right now). Anyway, choose the option to copy the files if that's your preference! It's a big window; lots to miss...

On the Import Session Data window, there's the Media Options section. Just needs to change that from "link to source media" to "copy from source media"

All the options are built right into that window. And that setting will stick until you close Pro Tools down. (so you can open/close/import as much as you want while Pro Tools is open and you don't have to look at the setting until the next time you start up Pro Tools from scratch)
